LIKEMOVING / JOURNAL03 — 143

Give the meeting space its own inventory and handover plan rather than treating it as a set of desks.

01

Separate the furniture route from technical work

A small meeting corner and a boardroom with a sectional table, mounted screen and conferencing equipment need different preparation. List table sections, chairs, storage, display, camera, speakerphone and any equipment owned by the landlord or an outside provider. Photograph cable labels and the room layout without exposing confidential information on screens or whiteboards. Ask the office IT contact to identify connections and arrange required technical work. Wall-mounted equipment and electrical connections should be handled by an appropriately qualified person; do not ask a carrier to improvise removal. For example, a meeting room moving between Herzliya offices may need a timed building booking, while delivery to Petah Tikva may depend on the new room being ready for a long tabletop. Confirm dimensions, the largest indivisible section and access at both ends.

02

Make the room usable without confusing transport and commissioning

Assign one responsible contact for the room and number accessories by device, not merely as “cables”. Put table fixings and removable parts in identified packages and keep confidential records outside general transport boxes. Agree protection for screen surfaces, furniture edges and the route through occupied office areas. Establish where packages can be placed without blocking an exit or another team’s work. At delivery, reconcile chairs, table sections and equipment against the inventory before packaging disappears. Record visible condition and leave installation decisions to the designated technical contact. Allow a separate commissioning window to test sound, picture, internet and room booking arrangements before scheduling an important call. A furniture delivery does not itself confirm that video meetings work. Put assembly, mounting, technical setup and any supplier involvement into the written scope so there is a named owner for each task.
